How About The Build-up To The Event

Speakers:

Did you pick the right ones? Were they experts, fully familiar with their subjects? Were they experienced and capable and a draw for delegates? Did they do a good job? Put across the correct message? Help you to achieve your objectives? If not, why was this? Did you find and sign up speakers in the most appropriate manner and handle them properly from start to finish? Is there anything you should have done differently?

Delegates:

Were the right ones there – those who will have benefited from it? Who will have helped you to achieve your goals? Who needed to be invited for political reasons? Have they done what you wanted them to do – improved their performance or placed orders? Did you draw up a contacts list and approach delegates correctly? If not, how should you have done it?

Publicity:

Did you publicise your event successfully – through press releases, via direct mail or by advertising in the press? Do you think you reached the right audience? Did you put over your message and at a cost-effective price? Do you feel you achieved your objectives – to attract more delegates? If not, why not?

Outsiders:

Did you commission appropriate outside individuals and organisations to help you? Were they reputable and trustworthy? Did they have sound knowledge and experience and an interest in your requirements? Were their prices and competitive? Did they do their share of the workload, and do it well? Did you find, negotiate and work with them successfully?

You:

Was your particular role a success? Did you take an overview? Were you aware of exactly what you were doing? Did you prepare thoroughly for the conference? Did you rehearse what you were going to say and do? Did you do a good job, perform your activities well and achieve what you intended to?

Equipment:

Was the right equipment, such as visual aids or audiovisual aids, used at the event? Was the best use made of them – to help you put across a speech more effectively, save time, add variety and style and ensure a message is retained for longer? If not, why>

Rehearsals:

Did you coordinate everyone and everything well – speakers, delegates, venue, suppliers, overnight accommodation? Did you supervise everything properly – the business programme, the social programme, venue, facilities and services, overnight accommodation? Did you make any last-minute changes? If so, were these amendments effective?
