The Invitation
What happens after
they have accepted your invitation to the Event?
Confirm
key details in writing (if you have not already done
so) including location, dates, times, business and
social activities, fees and payment dates, travel
and accommodation arrangements and any other miscellaneous
arrangements that you can think of.
Ask
delegates to register well in advance so that you
can estimate numbers, names, companies, addresses,
telephone and fax numbers, attendance details, arrival
dates, departure dates, fees for attending some activities
and not others perhaps, accommodation requests and
payment arrangements.
Finalise
the conference programme and inform delegates of any
changes. Supply any documents and materials, which
may be of use or interest to them, such as new product
literature and press releases.
Check
to see if you should attend to anything else. Are
there any questions or uncertainties? Is something
unclear? Should you make travel and accommodation
arrangements as early as possible and any amendments,
as necessary? Is everything organised to get them
to the conference on time, fresh and relaxed, and
ensure they are happy with their accommodation? Are
you ready to begin the business programme?
