Material For You?
Such
material includes pre-conference documents before speakers,
delegates and their partners to be sent out regularly
before the event to advise, inform and maintain interest.
This may incorporate a revised programme of business
and social activities – again stressing the benefits
of attending – a `What’s on’ guide for the area, a map
with the venue, overnight accommodation, car parking
facilities and places of interest highlighted on it,
details of and paperwork for travel and accommodation.
Remember to order spares in case some of the originals
go astray or are mislaid.
It
may also include badges to be handed out and worn by
everyone at the conference for identification and security
purposes. Decide which type – those that clip on to
lapels or pockets rather than with sticky backs or safety
pins? (Too much damage with them!) Should they be in
your firm’s colours, with its logo? Make sure that participants’
names are printed clearly and correctly to avoid causing
offence. (Don’t let them write their own names – their
handwriting may be illegible!) Should they have plastic
covers, to increase durability?
Other
publicity material includes conference documents for
participants and their partners, such as a finalised
programme of activities or up-to-date information –
sales facts and figures of new product specifications
perhaps. These are best given out with badges on arrival,
rather than posted beforehand. Packaging and postage
costs mount up, and documents may then be left behind.
Again, order a sufficient number of spares.
